Polinc provides a household management platform including web applications, mobile applications (iOS and Android), browser extensions (Chrome, Edge, Firefox, Safari), and this website (collectively, the "Services"). By using the Services, you agree, on behalf of yourself and all members of your household and others who use any Service under your account, to the following terms and conditions.
Please Read These Terms Carefully
By using the Services, you signify your acceptance of these Terms and Conditions ("Terms") and our Privacy Policy. If you do not agree to these Terms and our Privacy Policy, do not use the Services. Polinc may revise these Terms at any time. When we make material changes, we will notify you by email or through a notice on the platform at least 30 days before the changes take effect. Your continued use of the Services after that notice period constitutes acceptance of the updated Terms.
1. The Services: Scope and Functionality
Polinc is a secure household management platform. Depending on your subscription plan, the Services include:
- Assets Hub: Secure storage and management of passwords, financial records, property documents, investments, cryptocurrency keys, and other digital assets in encrypted vaults (Asset Groups).
- Money Hub: Expense tracking, bill calendar, subscription management, and Smart Import for automated extraction of financial data from uploaded documents.
- Family Hub: Nominee designation, controlled sharing of assets and documents with family members, legacy messages, and the Sharing Center.
- Browser Extension: Auto-fill of stored credentials on websites across Chrome, Edge, Firefox, and Safari.
- Check-In Protocol: Periodic verification that confirms you are active. If you do not respond to Check-In verifications within your configured timeframe, the system initiates the nominee notification process.
The Services allow for two distinct methods of information access: (A) Immediate User-Controlled Sharing, where you voluntarily share specific data with authorized individuals in real-time; and (B) Contingent Verification Protocol, where designated nominees gain access only after a verified life event and successful completion of the multi-stage verification protocol.
2. Eligibility and Age Requirement
You must be at least 16 years of age to create an account and use the Services. By creating an account, you represent and warrant that you meet this age requirement. If we learn that we have collected personal information from a user under 16, we will terminate the account and delete the associated data.
3. Subscriptions, Billing, and Cancellation
Polinc offers the following subscription plans:
- Basic (Free): Limited features, 1 seat.
- Personal: $7/month or $5/month billed annually, 2 seats.
- Family: $12/month or $10/month billed annually, 6 seats.
All paid plans include a 14-day free trial. No credit card is required to start a trial. Paid subscriptions renew automatically at the end of each billing cycle unless cancelled before the renewal date.
You may cancel your subscription at any time through your account settings. Upon cancellation, your paid features remain active until the end of the current billing period. Your account then reverts to the Basic (Free) plan, and your data remains accessible. No refunds are issued for partial billing periods.
We reserve the right to change pricing with at least 30 days notice before your next billing cycle. If you do not agree to a price change, you may cancel before the new price takes effect.
4. Electronic Notifications
You consent to receive notifications from us electronically, including emails, SMS, push notifications, and in-app messages. You agree that all agreements, notices, disclosures, and other communications that we provide to you electronically satisfy any legal requirement that such communications be in writing. Transactional notifications (security alerts, Check-In verifications, billing confirmations) are essential to the service and cannot be opted out of while your account is active.
5. Your Account Responsibility
You are responsible for maintaining the confidentiality of your account credentials and for restricting access to your devices. You agree to accept responsibility for all activities that occur under your account. You must notify us immediately at support@polinc.com if you suspect unauthorized access. Polinc reserves the right to suspend or terminate accounts that violate these Terms or are used for unlawful purposes.
6. Authorized Sharing and User Permissions
For features that allow sharing with other users (such as Asset Groups, the Sharing Center, and Share Codes): use of the Services does not automatically grant any third party access to your data. You retain full control over what is shared, when it is shared, and with whom. If you choose to grant access to a third party, you acknowledge that they can view or use that specific information immediately. Proof of Life Inc. is not liable for the actions of any individual you have explicitly authorized to access your account or data.
7. AI-Powered Features and Automated Processing
Certain features of the Services use automated processing to organize your data:
- Smart Import: Extracts structured data (account numbers, balances, due dates, payee names) from documents you upload, including PDFs, images, CSV, and Excel files.
- Bill Detection: Identifies recurring charges and schedules from your imported financial data.
- Password Strength Analysis: Evaluates the security strength of stored credentials.
You acknowledge that automated processing may not be 100% accurate. You are responsible for reviewing extracted data for accuracy before relying on it. Polinc is not liable for errors in automatically extracted data. You may request human review of any automated processing result by contacting support@polinc.com.
8. Browser Extension
The Polinc browser extension operates within your web browser to auto-fill stored credentials on websites you visit. The extension accesses only the login form fields on the active web page to provide auto-fill functionality. It does not collect browsing history, track your web activity, or transmit page content to our servers. Credentials are retrieved from your encrypted vault and filled locally on your device.
9. Emergency Reporting and Manual Triggers
The Polinc system allows designated contacts to report a life event (such as death, coma, or missing status) to manually initiate the Check-In verification process. A report does not result in immediate data release. It acts as a trigger for our system to attempt to contact you through the verification protocol. You agree that Polinc is not liable for distress or inconvenience caused if a designated contact falsely reports an emergency, triggering a verification check. We rely on the good faith of the contacts you designate.
10. The Nominee Verification Protocol
For assets not actively shared, access is granted to nominees only after the verification protocol concludes. This relies on: (1) your unresponsiveness to Check-In verifications; (2) confirmation from your designated primary, secondary, and tertiary nominees as configured; and (3) review of emergency reports, if applicable. By selecting your nominees, you vouch for their integrity. You agree that Proof of Life Inc. is authorized to rely on their representations regarding your status. We are not liable for releasing information based on nominee consensus if you remain unresponsive to our verification attempts.
11. Data Portability and Data Takeout
You may export your data at any time using the Data Takeout feature in your account settings. Data Takeout provides a downloadable copy of your assets, documents, and account information in a structured format. We recommend using Data Takeout before deleting your account.
12. Intellectual Property and User Content
You retain full ownership of all data, documents, and content you upload to the Services ("User Content"). By uploading User Content, you grant Proof of Life Inc. a limited, non-exclusive license to process, store, encrypt, and transmit that content solely for the purpose of providing the Services to you. This license terminates when you delete your content or your account.
The Polinc platform, including its design, software, trademarks, and documentation, is the intellectual property of Proof of Life Inc. You may not copy, modify, distribute, or reverse-engineer any part of the Services.
13. Use of Third-Party Services
When you use the Services, you may also be using the services of one or more third parties, such as a wireless carrier, mobile operating system provider, or browser vendor. Your use of these third-party services may be subject to their separate policies, terms of use, and fees. Polinc is not responsible for the practices of third-party services.
14. No Legal or Fiduciary Advice
Polinc is an information management platform, not a law firm, financial advisor, or trustee. Sharing information via Polinc does not replace a legal will, trust, or professional financial advice. We do not verify the legal validity of uploaded documents. You are encouraged to consult with qualified professionals regarding legal, financial, or estate planning decisions.
15. Termination
You may terminate your account at any time through your account settings or by contacting support@polinc.com.
We may suspend or terminate your account if you violate these Terms, use the Services for unlawful purposes, or if your account has been inactive for more than 24 consecutive months on a free plan.
Upon termination: (1) your access to the Services is revoked immediately; (2) you have a 30-day grace period to use Data Takeout to export your data before it is permanently deleted; (3) after the grace period, all Vault Data and personal information is permanently deleted, except billing records which are retained for up to 7 years for legal compliance.
16. Disclaimer of Warranties and Liability
THE SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE." PROOF OF LIFE INC. MAKES NO WARRANTIES, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. PROOF OF LIFE INC. SHALL NOT BE LIABLE FOR:
- Misuse of data you explicitly shared with others through the Services.
- Release of data to nominees following a completed verification protocol.
- Inaccuracies in data extracted by automated processing features such as Smart Import.
- Any technical failure preventing you from responding to a Check-In verification due to carrier, network, or device issues.
- Indirect, incidental, special, consequential, or punitive damages arising from your use of the Services.
17. Indemnification
You agree to indemnify and hold Proof of Life Inc. harmless from any claims, damages, losses, or expenses (including reasonable attorneys' fees) arising from: (a) the actions of any household member or user accessing your account with your permission; (b) the release of data to nominees in accordance with your settings and the verification protocol; (c) any dispute between your authorized contacts and nominees; (d) your violation of these Terms.
18. Disputes and Governing Law
These Terms are governed by the laws of the State of Texas, United States, without regard to its conflict of law provisions.
Any dispute or claim relating to your use of the Services will be resolved by binding arbitration administered by the American Arbitration Association (AAA) under its Consumer Arbitration Rules. Arbitration will take place in Austin, Texas, unless you and Polinc agree to a different location or virtual proceedings.
You agree to resolve disputes on an individual basis. Class actions, class arbitrations, and representative actions are not permitted under these Terms.
Small claims: either party may bring a qualifying claim in small claims court in Travis County, Texas, as an alternative to arbitration.
19. Legal and Content Disclaimer
The information provided on this platform, including security policies, compliance details, feature descriptions, and service documentation, is for general informational purposes only. Proof of Life Inc. makes no guarantees regarding the accuracy, completeness, or timeliness of this content.
Nothing contained herein constitutes legal, financial, or professional advice. Users are encouraged to consult with qualified professionals regarding specific concerns.
By accessing and using the Services, you acknowledge and accept these Terms, agreeing that Proof of Life Inc. is not liable for any decisions made based on the information presented.
By creating an account, you acknowledge that you understand the functionality of the Services and accept full responsibility for the permissions you grant to others.
